Why does LDX charge a license fee?
Legal documents need extra security. The fee covers the costs of special software and networking that ensures your documents are created on a secure server - not a transcriptionist's home computer where your documents could be saved or e-mailed to others. In addition to being stored on our secure server, which is backed-up daily, your documents are stored inside a secure database using Interwoven Worksite WEB XT™ document management software. Use of this password-protected software also provides added security. LDX's methods of networking and document preparation are unique in the legal industry.

Why does LDX charge on a quarter-hour basis instead of by word or page?
LDX specializes in knowing the styles required for legal documents. Setting up formatting takes time that is not captured in a per word or per page charge. Remember, LDX creates finished legal documents, not just transcription into documents that you must format. Plus, on documents of three or more pages, LDX's prices are generally the same or less than those created on a per word basis.

Once I sign up for LawDocsXpress' services, are there any minimum usage requirements for transcription or document preparation?
No, there is no minimum requirement to use LawDocsXpress transcription or typing. Once you sign up for service, you can create or file your own or other documents into your personal LawDocsXpress database. Having secure access to the various files you need whenever you want them is a valuable service whether or not you choose to use our transcription or other document preparation services.

Do I need any special equipment or software to access my files on the LawDocsXpress server?
You only need an Internet connection and Internet Explorer 5.5 (and Service Pack #2 installed). Windows Internet Explorer 7.0 is preferred.

Can more than one person share a user I.D./personal database?
Yes. For example, multiple attorneys could opt to share one LawDocsXpress database. However, since there would be only one user I.D., each user would be able to see all the files contained in the database. No files could be marked "personal" and be hidden from the other users because everyone is using the same I.D. to access the database.

What is your document retention policy?
It is LDX’s policy to purge client documents after one year. However, LDX will work with clients to meet their individual document retention needs.

Whom do I call if I have problems accessing my documents or getting on the LDX server?
We have staff available 24 hours, 7 days a week to answer your questions. Just call our toll free number, 866.842.3185, any time you need assistance.

Do you have the capability to do a conflicts check on your legal secretaries?
Yes. We can use our own procedures or we can follow yours! And, because we assign specific secretaries to work for you, we are able to ensure that conflicts do not arise. This is a significant part of our patent-pending process!

Must I always do original dictation or can I send marked-up copies of existing documents?
You may request changes to existing documents in a variety of methods. You may dictate changes, fax us a marked-up copy of the document or upload a .pdf file with your scanned handwritten notes. You do not need to alter your work style to use LawDocsXpress.

Are there other services that LDX can provide to create a true "virtual office?
LDX has the ability, in certain states and metropolitan areas, to file documents with various courts. We are in the process of adding time and billing activities to our services to enable you to invoice your clients.

If I want to use a digital recorder, are there particular units that work with your system?
Most Olympus, Phillips and Sony units are compatible with our system. The Olympus VN models do not work with the LDX system at this time. The majority of our clients use the Olympus DS2300, Olympus DS4000, Philips 9450 and Philips 9360 handheld digital recorders. These offer all the necessary features at the most competitive price – about $145 - $185.

How do I send you dictation if I use a tape recording device?
There is inexpensive software available that will allow you to convert your analog tapes to digital files. Contact LawDocsXpress for more information.
Also, you may play your analog tapes into a digital recorder, which will convert them into a digital format without losing sound quality.

How reliable is your system?
LDX has a 99.99% uptime record. Our servers are installed in an environmentally controlled, secure colocation service. LDX has redundant full T-1 access from three separate Internet providers. We have a firewall and continuously run virus protection software. Files are backed up nightly.

Does LDX outsource offshore using non-U.S. labor?
No. LDX uses only U.S. labor comprised of only experienced legal secretaries. LDX’s legal secretaries have actual law firm and/or corporate legal experience in the specific practice areas of the attorneys for whom they work. Finally, as part of its patent-pending technology and process, LDX assigns the same secretaries each time which allows legal conflicts checks.
